Template menu

In the Admin Console of OfficeNEXT Safebox, the Templates menu allows administrators to manage record templates used within the organization. This includes creating new templates, modifying existing ones, and deleting templates that are no longer needed.

When you click on 'Templates' in the left menu of the Admin Console, you'll see a list of 5 basic templates used for record creation. You can modify these template items by clicking on them or create a new template by clicking 'New Template' in the upper right corner.

Modifying Templates

In the template list window, the default templates (Default, Login, Web Login, Server, SSH Key) cannot be edited. However, newly created templates can be modified and deleted in the editing window after selection.

  1. From the list of templates, select the template you want to edit other than the default template.

  2. Make the necessary changes to the template's name or fields.

  3. Click 'Save' to apply the modifications.

Creating a New Template

  1. Click the 'New template' button located at the top right of the Templates page.

  2. Enter a Template Name that clearly describes the purpose of the template.

  3. Add the necessary fields by clicking the 'Add Field' button. For information about each field item, please refer to the 'How to Select a Template Icon and Enter a Template Name' section below.

    • Specify the Field Name.

    • Choose the Field Type (e.g., text, number, date).

    • Indicate whether the field is mandatory by selecting 'Required' in the 3-dot option next to the label.

  4. After configuring all desired fields, click 'Save' to create the new template.

When the new template window opens, template icon and name fields are displayed, followed by type and label items for fields to be added. You can add new fields by clicking '+ Add Field'. The field sample (data type and label) shown just above 'Add Field' serves as an example of input fields. On the left is the data type, and on the right is the label name. By default, the 'Memo' field is a basic field item automatically included in all templates.

How to Select a Template Icon and Enter a Template Name

At the top of the New Template window, you can specify an icon and name for the new template.

Template Icon Selection: When you click the icon area, an icon selection window appears where you can choose an icon for your new template. Choose an icon that fits the template you want to create. Template Name: Enter a name for your new template.

How to add a field

In the new template window, click Add Field () to select desired fields for addition. Various field types are available for storing different kinds of data, as listed below:

  • Text: A field value for entering character strings.

  • Secure Text: Provides password generator options and allows text to be masked for security.

  • Email: A field for entering email addresses.

  • Password: An encrypted field for entering passwords.

  • Secure Email: Allows email addresses to be masked for security purposes.

  • PIN: A field for storing numbers or text, such as simple passwords or pass keys.

  • URL: A type for entering data related to internet sites or access paths.

  • Memo: A text field type for storing notes or necessary content related to the record.

  • Secure Memo: Allows memo content to be masked and hidden.

  • File: A field type that calls a file selector to attach files to the record.

  • Date: A field for adding dates.

In the list window that appears when you click Add field, you can add 11 different information fields depending on the data type. Fields that are encrypted for data protection are marked with a padlock () icon. To arrange the added fields in order, you can move them up and down using the three-line () icon on the left side of the field data type. On the right side of the added field label name, you can click the three-dot (⋯) menu to either delete the field or set it as a required input value.

For example, let's create a new template. This is a template for saving bank accounts.

  1. Add fields such as Text, Secure Text, Email, Password, PIN, etc.

  2. Adjust the order in which they will appear on the screen with the Move () icon, then click the three-dot () icon to specify the required value option for that field.

  3. Click the Save button to save the bank account template.

Now, to check out your newly created 'Bank Account' template, go back to the user screen, click 'Create Record,' and select 'Bank Account' as the template. Required fields have a required () icon next to the label name.

How to modify a field

If you have saved a new template, you can verify that the newly created template is well-configured by creating a record. If there are any fields that are not suitable for the new template, you can go back to the template management screen and edit them. You can edit the field configuration by clicking on the newly created template again in the Admin Console > Templates > List and editing the field configuration in the edit screen.

If the added field is not suitable and you want to change it to a different type, you can easily change the added field to a different data type by clicking the V icon next to the data type field. You don't have to add a new field and delete the existing one.

To delete a field from the template, click the three-dot menu at the right end of the field and select 'Remove.'

If you do not need a newly created template other than the basic template and want to delete it, click on the template in the list and then click on the 'Delete' button at the bottom of the edit screen that appears.

Searching for a Template

If your organization has numerous templates, utilize the search bar at the top of the Templates page to quickly locate the desired template by entering relevant keywords.

By effectively managing templates through these functionalities, administrators can ensure that users have access to standardized and relevant record structures within OfficeNEXT Safebox.
