To share a record you've created in OfficeNEXT Safebox with team members or colleagues, follow these steps:

How to share a record

Open the Record Details:

Navigate to the record you wish to share and click on it to open its detailed view.

In the detailed view, locate and click the Share icon

Alternatively, click the three-dot menu and select 'Share'.

In the sharing interface, click the '+' button in the top-right corner to open the organization chart.

From the organization chart, select the team members or colleagues you want to share the record with. You can select multiple individuals by checking the boxes next to their names.

After making your selections, click 'OK' button.

The selected collaborators will now appear in the sharing interface.

Click 'Save' to complete the sharing process. Once saved, the record will be shared with the chosen individuals.

Note: Only records you've created can be shared. Ensure that the information is appropriate for sharing before proceeding.

By following these steps, you can effectively share records within OfficeNEXT Safebox, facilitating collaboration and secure information sharing among your team.

Changes and notifications for shared records

If you modify the contents of a record () that you have shared, a notification will be sent to the users in the sharer list informing them of the change to the corresponding record in the safebox.

When you edit a shared record, make changes, and save it, a pop-up window like the one below will appear, allowing you to choose whether to notify shared users of the changes. Clicking "Yes" will notify shared users of the record's updates via messenger's notification message.

Then, if you're a Next Messenger user, you'll receive notifications sent to your sharers via messenger. Notification messages will be displayed in their Safebox language set by the sharerd users.
